New Web Platform Policies: Clearer Guidelines and Enhanced Security

Overview of the Changes
We have recently made some changes to the Web Platform policies in an effort to provide clearer guidelines for our users and ensure more robust security and data protection measures. Below is a summary of these changes.
- Enhanced Policies on Compliance and Data Protection Guidelines
- We have updated our policies to be clearer.
- Editors and above must now attest that all documents and images meet HS 9401 regulations regarding PHI and PII (Protected Health Information and Personally Identifiable Information).
- Website Administrators cannot add images or documents to your site; end users must add the images or documents to the site.
- Updated Accessibility Requirements
- Added more information on the Web Platform training site about Alt text, descriptions, and captions.
- Editors and above must now attest that all documents meet the WCAG 2.0 Guidelines (Web Content Accessibility Guidelines).
- In the next few months, Site Owners will start receiving regular reports on accessibility issues on their sites.
- By the end of the year, Editors and above will start receiving regular reports on accessibility issues on their sites.
- Well-Defined Parameters on Site Types Supported
- The Web Platform is only for public-facing material.
- Content intended for an internal audience or containing sensitive data cannot be posted on the Web Platform. Please use, or request, a Mednet site for this type of content.
- The Web Platform may not be used for clinical information. If you need to highlight clinical-based information, please submit a request to UCLA Health Marketing.
- Content Accuracy and Integrity
- Information presented on a Web Platform site must be accurate, up-to-date, and evidence-based, reflecting the high standards of medical education and research.
- All links to external sites must be current and appropriate.
- Links may not point to sites like the Internet Archive, as they are a historical record and may be outdated.
- The Web Platform may not be used as an archive or historical archive.
- Copyright
- All content posted on the Web Platform must fall into one of the following three categories:
- UCLA is the copyright holder.
- UCLA must have explicit permission from the copyright holder to post on an external-facing website.
- You have a Creative Commons license to use the content.
- You may not add content that you searched for on the internet and are adding to your site. You must have permission from the copyright holder.
- All content posted on the Web Platform must fall into one of the following three categories:
- Taxonomy
- Site administrators will no longer have the ability to add taxonomy terms. All terms will be managed by the Web Platform. All terms are now available platform-wide. This will enable us to support additional features in the future.
Timeline
All the changes will be implemented by July 22.
